WhatsApp Business for Indian Businesses: App, API and What You Actually Need
CUSTOMER MESSAGING WhatsApp Business App vs API Which Do You Need? blogshog.com

If one or two people handle all your customer messages, use the free WhatsApp Business app. If you need several agents on one number, automated replies tied to your own systems, or messaging at volume, you need the WhatsApp Business Platform — the API — which costs money per message and requires a provider. That is the entire decision, and most Indian businesses that are frustrated with WhatsApp are simply on the wrong side of it.

The confusion is understandable. WhatsApp has three different products with similar names, the pricing model has changed more than once, and most of what you read is published by companies selling API access. This guide sets out what each tier actually is, what it costs, where the limits bite, and the rules that get accounts restricted.

What are the three WhatsApp products?

Three products, often confused Personal WhatsApp Free One phone, one person No business profile No catalogue or labels Against the terms for commercial messaging Risk: number banned Business app Free Business profile, hours Catalogue, labels, away messages, quick replies Up to about 5 linked devices on one number Right for most small firms Business Platform (API) Paid, per conversation Many agents, one number Connects to your CRM Automation and chatbots No app. Needs a provider or your own build. Right above ~10 agents

The first column is worth dwelling on because a great many Indian businesses are sitting in it. Running a shop or a service business from a personal WhatsApp number is against WhatsApp’s commercial terms, and the enforcement is not a warning letter — it is the number being blocked, taking your entire customer history with it. The Business app is free and takes ten minutes to switch to. If you are in column one, move.

What does the free Business app actually give you?

More than most users ever set up. The features that genuinely change how a small business operates are these four, and they take an afternoon to configure.

  • Labels. Tag conversations — new enquiry, quoted, paid, delivered — and you have a working pipeline without buying a CRM. This is the most under-used feature in the product.
  • Quick replies. Save the eight answers you type forty times a week and trigger them with a keyboard shortcut. Measured in hours saved per month.
  • Away and greeting messages. Set business hours and an away message. The main benefit is not automation, it is that customers stop assuming you are ignoring them.
  • Catalogue. Products with prices and images inside the chat, so you stop sending the same photos repeatedly.

What the app cannot do is the real boundary. It has no way to connect to your other systems, so an order in WhatsApp does not become an order in your billing software. It cannot route a conversation to whoever is free. And because device linking is capped at a handful, it does not work for a team of agents sharing one line.

How does API pricing work?

Two charges stack, and understanding the structure matters more than knowing today’s rates, which change.

First, WhatsApp itself charges per message or conversation, with rates that differ by category and by country — India has its own rate card. The categories are the key concept: marketing messages (promotions, offers) are the most expensive, utility messages (order updates, payment confirmations) are cheaper, authentication messages (OTPs) are cheaper still, and service messages — your replies inside a customer-initiated conversation — are typically free within a window.

Second, your provider charges on top. Most providers add either a monthly platform fee, a per-message markup, or both.

What you pay for, and what you do not Marketing Offers, promotions, re-engagement Most expensive Utility Order confirmed, shipped, payment received Mid Authentication One-time passwords and verification codes Low Service Your replies when the customer messaged first Usually free + Provider fee Monthly platform charge, per-message markup, or both Varies widely

The practical consequence of that table is a design principle: get the customer to message you first. A conversation the customer starts is far cheaper to service than one you start, and the gap is large enough to be worth building your whole approach around. Click-to-WhatsApp buttons on your site, a QR code in your shop, the number in your Google Business Profile — all of these shift conversations into the cheap category.

Because rates and the exact conversation-window rules change, always check WhatsApp’s current pricing documentation for India before building a business case, and ask any provider to quote both components separately. A quote that bundles platform fee and message cost into one per-message figure is hiding which part grows with your volume.

What are message templates and why do they get rejected?

On the API, you cannot send a business-initiated message freely. Anything you send outside an open customer-initiated conversation must use a template that WhatsApp has approved in advance. Templates have fixed text with named variables, and approval is not automatic.

Approved pattern (utility):
Hi {{1}}, your order {{2}} has been dispatched and
should arrive by {{3}}. Reply here if you need help.

Commonly rejected (marketing dressed as utility):
Hi {{1}}, your order is on the way! Also, get 30% off
your next purchase with code SAVE30 — offer ends soon!

The second one fails for a specific reason worth internalising: it mixes a promotion into a utility template, which is both a rejection trigger and, if it slips through, a way to get your account rated poorly. Keep categories clean. A dispatch notice is a dispatch notice.

What gets a WhatsApp business account restricted?

WhatsApp assigns every business number a quality rating driven largely by how recipients react. Blocks and “report spam” taps push it down; replies push it up. A low rating reduces how many people you can message per day, and sustained problems can end in a ban. The mechanism is worth understanding because it is unusually unforgiving.

  • Messaging people who did not opt in. A phone number in your database is not consent. Uploaded contact lists are the single most common cause of bans.
  • Sending too much marketing. Even with consent, frequency drives blocks, and blocks drive your rating down.
  • Making it hard to stop. Honour opt-outs immediately and visibly. “Reply STOP to unsubscribe” works; ignoring it does not.
  • Buying a number with history. Ratings attach to the number. Use a clean one.
  • Scaling too fast from a new number. Messaging limits increase with demonstrated good behaviour. Pushing volume on day one looks exactly like spam.

Consent deserves a sentence of its own. In India, WhatsApp marketing sits alongside your obligations under data protection law, and “we had their number because they bought something” is not a defence for promotional messaging they did not agree to. Collect opt-in explicitly, record when and how, and keep it — for WhatsApp’s sake and for your own.

How do you choose a provider?

You cannot access the API directly without building against it yourself, so most businesses go through a solution provider. They differ far more than their marketing suggests, and five questions separate them.

Ask every provider these five things 1 Quote the WhatsApp cost and your fee separately A single blended per-message rate hides which part scales 2 Who owns the number and the WhatsApp Business Account? It must be yours, or you cannot leave without losing it 3 Can I export my full conversation history? Your customer conversations are your records 4 Does it connect to what I already use? CRM, billing, catalogue. A silo adds work rather than removing it. 5 Is there a contract lock-in, and what is the exit process?

Question two matters more than any price difference. If the provider registers the WhatsApp Business Account in their own name with your number attached, moving away means losing the number, the quality rating built up on it, and in some cases the history. Insist on ownership in your name from the start; retrofitting it later is painful.

What should you do this week?

  1. If you are on personal WhatsApp, switch to the Business app today. It is free and the migration keeps your chats.
  2. Set up labels, quick replies and business hours. An afternoon’s work, and it is where the real time savings are.
  3. Add a click-to-chat link on your website and your Google Business Profile, so conversations start on the customer’s side.
  4. Count your daily message volume and agent count. Under five agents and a few hundred conversations a day, stay on the free app.
  5. Only move to the API when a specific limit is hurting you — agents queueing for the phone, orders not reaching your billing system, templates you genuinely need to send at volume.

Point five is the honest conclusion. The API is sold hard, and plenty of businesses are paying for infrastructure they do not use because a provider convinced them it was the professional choice. The free app, properly configured, runs a substantial business. Upgrade when something breaks, not before.

If you do move to the API, think about where those conversations land. A messaging channel that does not connect to your customer records just creates a second place to lose information — see choosing a free CRM for an Indian small business and how to implement a CRM in 30 days. For the discovery side, so customers can find your number at all, Google Business Profile optimisation is the highest-return work. Can I run my business on a personal WhatsApp number?

You can technically, but it breaches WhatsApp’s commercial terms and the enforcement is a block on the number rather than a warning. Losing the number means losing your entire customer conversation history. The WhatsApp Business app is free and migrating to it takes about ten minutes.

What is the difference between the WhatsApp Business app and the API?

The app is free, runs on a phone with a handful of linked devices, and cannot connect to your other systems. The API has no app, costs money per conversation, requires a provider, and supports many agents on one number plus integration with your CRM and automation.

How much does the WhatsApp Business API cost in India?

Two charges stack: WhatsApp’s own per-conversation rate, which differs by category and country, plus your provider’s platform fee or markup. Marketing messages cost most, then utility, then authentication, while your replies inside a customer-initiated conversation are usually free. Rates change, so check current documentation.

Why was my WhatsApp message template rejected?

Most often because a promotion was included inside a utility template, which mixes categories. Other common causes are variables with no surrounding sentence, vague or misleading claims, requests for sensitive data in chat, and spelling or placeholder errors. Keep each template to one clean purpose.

What gets a WhatsApp business number banned?

Messaging people who never opted in is the biggest cause, and having someone’s number from a past purchase is not consent for marketing. High marketing frequency, ignoring opt-outs, reusing a number with poor history, and pushing high volume from a brand-new number all damage your quality rating and can end in a ban.

How do I reduce my WhatsApp messaging costs?

Get customers to start the conversation. Replies inside a customer-initiated conversation are typically free, while business-initiated messages are charged, so click-to-WhatsApp links on your site, a QR code in your premises and your number on your Google Business Profile all move volume into the cheaper category.

What should I check before signing with a WhatsApp API provider?

Insist that the WhatsApp Business Account is registered in your name rather than the provider’s, or leaving them means losing your number and its quality rating. Also ask for the WhatsApp cost and their fee quoted separately, confirm you can export full conversation history, and check integration with your existing systems.
